Attestation Cycles

Executive Summary

Attestation Cycles is the setup screen where administrators define the recurring cycles that attestation forms follow. Each cycle has a short code, a description, and a frequency. For a weekly cycle the screen also records which day of the week a period starts on, how many days after a period ends the attestation may be processed, and the time of day at which processing becomes available. Opening a cycle shows its attestation periods, which can be added one at a time, generated in bulk for a year, edited, or deleted. Each period carries the dates it covers, the earliest date and time it can be processed, and the date and time by which signatures are required.

Key Features

  • List all attestation cycles with their code, description, and frequency
  • Add a new weekly cycle, and edit an existing cycle's description, starting day of the week, days for approval, and time of day for approval
  • Open a cycle to see its periods, newest first
  • Add or edit a single period, with checks that the dates make sense
  • Create a full year of weekly periods automatically from a first start date and starting period number
  • Delete a single period, or bulk delete a range of periods for a year
  • Export the list of cycles to Excel

Typical Workflow

  1. Click Add, enter the Cycle code and Description, choose the Frequency, fill in the weekly options, and click Save.
  2. Click the edit icon on the new cycle (or right-click it and choose Edit) to open its period list.
  3. On the Periods tab, click Create, choose the Year, the First Attestation Period Start Date, and the Starting Period Number, then click Save to generate the periods.
  4. Review the generated periods. Use Edit to adjust a period's dates, or right-click a row and choose Delete to remove it.
  5. Use the General tab to review or change the cycle's weekly settings. Use the back arrow at the top of the page to return to the list of cycles.

FieldDescription
DescriptionDescription of the cycle. Required.
Starting Day Of WeekWeekly cycles only.

Earliest Processing DateDate and time from which the period's attestations can be processed.
Signature Required ByDate and time by which signatures are required.

When you save, the system checks that:

  • both dates are chosen;
  • Earliest Processing Date is not before the To Date;
  • Signature Required By is later than Earliest Processing Date;
  • when adding, the same year and period number does not already exist for the cycle.

When you add a new period, the Earliest Processing Date and Signature Required By are recalculated from the cycle's settings: the processing date is the To Date plus the cycle's Days For Approval at the cycle's Time Of Day For Approval, and the signature deadline is one hour before it. Values you enter for a new period are used only for the checks above. When you edit an existing period, the dates you enter are saved as entered.

Processing Overviews

This section describes what happens after you confirm a processing action.

Create (Create Period Details, Save)

  1. Requires a year and a first start date.
  2. Stops with a warning if a period with the chosen year and starting period number already exists for the cycle.
  3. Creates a seven-day period beginning on the start date, numbered from the starting period number. The next period begins seven days later and the number goes up by one. This repeats until the start date moves into a later year.
  4. For each period, the earliest processing date and time is the period's last day plus the cycle's days for approval, at the cycle's time of day for approval. The signature deadline is seven days after that, less one hour.
  5. A period is skipped, without a message, if one already exists for the same year and period number.
  6. Closes the dialog and refreshes the list.

Bulk Delete (Bulk Delete Period Details, Save)

  1. Requires a year, a starting period, and an ending period.
  2. Finds every period of the cycle in that year whose number falls in the range.
  3. Deletes them and refreshes the list.

Export

  1. Requires at least one cycle in the grid.
  2. Builds an Excel workbook with one sheet, Attestation Cycles, with the columns Cycle, Description, and Frequency.
  3. Downloads the file, named attestationcycles_{date}.xlsx, and shows "Exported Successfully".
