Suppliers

Executive Summary

Suppliers is the setup list of AlayaCare suppliers used when scheduling against supplier resources. Administrators refresh the list from AlayaCare and then open a supplier to maintain the local settings that control how that supplier is scheduled: scheduler interval and height, which AlayaCare validations may be overridden, how clock-in times are recorded, and which facilities the supplier is linked to. The supplier's AlayaCare groups are shown for reference.

Key Features

  • Review suppliers imported from AlayaCare, including profile, branch, code and scheduler settings
  • Refresh the list from AlayaCare when suppliers change
  • Edit scheduler interval minutes, cells per interval, scheduler height, visit overrides and clock-in options
  • Review the AlayaCare groups a supplier belongs to
  • Add or remove the facilities linked to a supplier

Typical Workflow

  1. Click Refresh From AlayaCare after suppliers change in AlayaCare.
  2. Click the edit icon on a supplier (or right-click the row and choose Edit).
  3. On the General tab, click Edit to change the scheduler, override and clock-in settings, then click Save.
  4. On the Facilities tab, click Add to link a facility, or delete a facility that no longer applies.
  5. Click Close.

Processing Overviews

This section describes what happens after you confirm a processing action.

Refresh From AlayaCare

  1. Signs in to AlayaCare and reads all suppliers.
  2. For each supplier already on the list, updates its code, description, profile name and profile email, then replaces its list of groups with the groups from AlayaCare. Scheduler, override, clock-in and facility settings are not changed.
  3. For each supplier not yet on the list, adds it with its AlayaCare ID, GUID, number, employee ID, branch, code, description, profile name and email, and its groups. A new supplier starts with all of the override options and Clock Current Date Only checked, Clock Time To Use set to Actual, and the scheduler interval, cells and height set to 0, so review these settings for each new supplier.
  4. Shows progress as each supplier is processed, then reloads the list.
