Trapeze Codes

Executive Summary

Trapeze Codes is the lookup list that tells the Trapeze transportation integration how to translate each Trapeze billing or trip code into AlayaCare. Administrators maintain one row per Trapeze code. For codes that represent a billable trip, the row says which AlayaCare service code the visit should use (a specific service code, or a base code combined with a value taken from a form field) and, for cancellation codes, which AlayaCare cancel code to apply. Codes that do not need a visit are simply recorded with a description. A starter set of standard codes can be loaded with one click, and the list can be exported to Excel.

Key Features

  • Add, edit and filter Trapeze codes
  • Load a standard set of default Trapeze codes in one step (existing codes are not duplicated)
  • Choose how the AlayaCare service code is determined: a specific service code, or a base code plus a form context field
  • Mark a code as a cancellation and assign the AlayaCare cancel code to use
  • Optionally limit a code to services whose name contains certain text
  • Export the displayed list to Excel
  • Maintain the Trapeze connection settings (organization unit, employee, client prefix, leg start times, facility) from the same page

Typical Workflow

  1. Open the page. If this is a new setup, click Add Default Codes and confirm to load the standard Trapeze codes.
  2. Click Add Code (or right-click the grid and choose Add) to create a code. Enter the Code and Description.
  3. Tick Is A Visit Required when the code should create or match an AlayaCare visit, then pick the Service Code Rule and complete the fields that appear.
  4. For cancellation codes, tick Is This A Cancellation Code and pick the Cancel Code.
  5. Click Save. To change a code later, click the edit icon on the row (or right-click the row and choose Edit).
  6. Use Filter Code and Filter Description with Apply Filter to find a code, and Export to save the list to Excel.
