Stat Holiday Pay Calculation

Executive Summary

Stat Holiday Pay Calculation builds a four-week work history for selected employees so payroll can work out statutory holiday (or float day) pay. Staff choose the Monday that starts the most recent of the four weeks, the holiday or float date, and which employees to include. The run reads each employee's visits and time off from AlayaCare, writes an Excel workbook with visit-level detail, weekly totals and a payment summary, and keeps the workbook on the job so it can be downloaded again. When Report And Process is chosen, the run also creates a holiday-date visit in AlayaCare for each employee, using the client and service chosen in the page settings, unless the employee already has one.

Key Features

  • Start a report for one employee, or for employees in selected groups and departments (leave them blank for all employees)
  • Choose Report Only or Report And Process (which also creates the holiday visits in AlayaCare)
  • Cancel a run that is in progress
  • Review past jobs with their processing times, included visit counts and status
  • Download the generated Excel workbook again at any time
  • Configure the holiday visit client and service, the service codes counted, and rounding options (when permitted)

Typical Workflow

  1. If you have access, open the settings and confirm the holiday visit client, the service, and the service codes to include.
  2. Click Start A New Report. Choose the Processing Mode, the Start Date For Prior 4 Weeks (a Monday), the Stat Holiday or Float Date, and who to include, then click Ok.
  3. Wait for processing to finish. The workbook downloads when the run completes.
  4. Use Download Excel on the job's row to save the file again later.

Report Output

Each run produces an Excel workbook named StatHolidayPayCalculation_{date and time}.xlsx. It is stored on the job, downloaded automatically when the run completes ("Exported Successfully"), and can be downloaded again with Download Excel in the grid. The workbook has three sheets: Report, Detail and Summary.

Processing Overviews

This section describes what happens after you confirm a processing action.

Start A New Report

After you click Ok the dialog checks that the dates are valid and that the service in the settings exists and belongs to the settings client. A job is then created with the status In Progress, and processing runs with a progress panel. You can cancel the run from the panel.

  1. The employees are determined. If one employee was chosen only that employee is used. Otherwise the employees in the chosen groups and departments (or all employees) are loaded from AlayaCare, ordered by last name.
  2. Four weeks are defined from the Monday: week 1 is that Monday through the following Sunday, and weeks 2, 3 and 4 are the three weeks before it.
  3. For each employee, the employee's visits and time-off entries from the start of week 4 to the end of week 1 are loaded from AlayaCare, using the employee's own time zone.
  4. Visits are kept when they are not cancelled, have a client, are not the holiday visit service from the settings, and have a service code selected in the settings. Details of each kept visit are loaded (scheduled times and clock-in and clock-out). When visit verification is available in AlayaCare, the verified times, verified duration and pay quantity are loaded as well.
  5. Time-off entries in the same period are added, together with their time-off rule.
  6. Each row's hours used is worked out and written to the Detail sheet in the week column that matches its start date, followed by the employee's weekly totals.
  7. In Report And Process mode, the system checks whether the employee already has a visit for the holiday service on the holiday or float date. If not, a visit is created in AlayaCare for the settings client and service, starting at 9:00 AM on that date in the employee's time zone, lasting the four-week total in minutes divided by 20. The visit is created with an override and reason code 1. The result is written under the employee's totals and on the Summary sheet.
  8. After all employees, the Summary sheet is written, the workbook is stored on the job, and the job is set to Completed with its end time and duration. The workbook downloads.
  9. If the run is cancelled, the job is set to Cancelled and no workbook is produced.
